Privacy Notice

Effective May 5, 2026.

This notice applies to PrimeBid Energy LLC (operating as “PrimeBid”) and our energy services — residential solar (Tesla Solar Roof, traditional panels, Powerwall battery storage), roofing, and related energy products. It governs information we collect through our website, the portal.primebid.com customer portal, proposals we deliver for these services, and any related forms, SMS messages, and emails we send you.

1. Who we are

PrimeBid Energy LLC (“PrimeBid,” “we,” “us,” or “our”) is a Florida limited liability company providing residential solar, roofing, and related energy products in Southwest Florida.

2. Information we collect

Information you provide directly

  • Identifiers: first name, last name, email address, phone number, and mailing or property address (including street, city, state, and ZIP / postal code).
  • Project details you share with us: floor plan preferences, budget, timing, roof type, energy goals, and any photos or documents you upload.
  • Payment information when you pay a deposit or invoice. Card data is collected and processed directly by Stripe — we do not store full card numbers on our servers.
  • Communications with us: emails, text messages, voicemails, form submissions, and notes added to your contact record.

Information collected automatically

  • Standard web log data: IP address, browser type and version, device type, pages viewed, referring URL, and timestamps.
  • Cookies strictly necessary for site functionality (such as keeping you signed into the customer portal). See “Cookies” below.
  • Email and proposal engagement: when you open an email or view a proposal we sent you, our delivery platform may record that event.

Information we generate about your property

  • Property aerial imagery, parcel data, roof measurements, and solar production estimates derived from publicly available sources (Google Maps, the Google Solar API, the Florida Statewide Cadastral, and roof measurement reports such as Roofr).
  • Proposal contents that combine your inputs with our pricing, design, and engineering assumptions.

What we do NOT collect

We do not collect social media profile information (we do not offer “Sign in with Facebook” or similar). Our website does not access your device's GPS location, contact list, or camera. We do not buy personal information from data brokers.

3. How we use your information

  • To respond to inquiries, schedule appointments, and provide quotes.
  • To prepare and deliver design proposals, contracts, change orders, and invoices.
  • To process payments and manage project milestones.
  • To communicate with you about your project — scheduling, design questions, permitting, install, warranty, and follow-up service.
  • To send you informational and marketing communications about our services, educational content, and limited-time offers. You can opt out at any time (see “Your choices and rights” below).
  • To improve our website, proposals, and internal operations through aggregated, non-identifying analytics.
  • To comply with legal obligations, enforce our agreements, and protect against fraud or abuse.

4. Service providers we share data with

We do not sell your personal information. We do not share it for cross-context behavioral advertising. We share it only with vendors who help us run the business, each bound by contract to use your data only for the purpose we hired them for. Today those vendors include:

  • GoHighLevel (LeadConnector) — our customer relationship management platform. Stores your contact record, communication history, and proposal links. Also used to send marketing and transactional email and SMS on our behalf.
  • Stripe — payment processing for deposits and invoices. Card data is collected directly by Stripe under PCI DSS; we receive only the last four digits and a transaction reference. Stripe's privacy practices are described at stripe.com/privacy.
  • Google — Google Maps and Google Solar APIs render your property aerial, geocode your address, and estimate solar potential. Your address is sent to Google when we generate your proposal. Google's handling of API data is described at policies.google.com/privacy.
  • Roofr — third-party roof measurement service. When we order a measurement report, your property address and roof imagery are processed by Roofr.
  • Google Gemini API — used to extract structured data from PDF documents (such as Roofr reports). Documents you or we upload are transmitted to Google for processing.
  • Vercel — hosts primebid.com and portal.primebid.com. Standard server logs are processed for security and performance.
  • Supabase — database and file storage backing the customer portal.
  • OpenPhone — business phone system for sales calls and SMS.

We may also disclose information to (a) our attorneys, accountants, and other professional advisors, (b) government agencies or law enforcement when required by law, and (c) a successor entity in connection with a merger, acquisition, or sale of assets.

5. Text messages (SMS)

When you give us your phone number — through our website, a third-party form, or in conversation with a sales representative — you consent to receive text messages from PrimeBid about your project, scheduling, and follow-up. Message frequency varies. Message and data rates may apply. Reply STOP to any message to unsubscribe, or HELP for help. Your consent to receive SMS is not a condition of any purchase.

6. Cookies, analytics, and tracking

We use a small number of cookies for essential site functions, such as keeping you signed into the customer portal and remembering basic preferences. We do not currently run third-party web analytics (such as Google Analytics), and we do not use cookies for cross-site advertising or remarketing.

Do Not Track

Some browsers transmit a “Do Not Track” (DNT) signal. Because there is no industry-standard interpretation of DNT, our website does not currently respond to DNT signals. However, because we do not engage in cross-site tracking or third-party advertising, your activity on our site is not used to build advertising profiles regardless of DNT status.

Third-party tracking

We do not knowingly permit third parties to collect personally identifiable information about your activity on our website over time and across different websites. Most browsers let you block or delete cookies in their settings; doing so may break some features of the customer portal.

7. How long we keep your information

We retain lead information and project records for as long as needed to provide our services and to comply with legal, accounting, and tax obligations. Specifically:

  • Lead inquiries (no project): up to 24 months from last contact, after which the record is archived or deleted on request.
  • Active and completed projects: for the life of the project plus the longer of (a) the warranty period applicable to the work, or (b) seven years from substantial completion, to satisfy Florida construction recordkeeping requirements.
  • Financial records (invoices, payments): seven years, per IRS guidance.
  • Marketing email lists: until you unsubscribe or request deletion.

8. Your choices and rights

You can:

  • Opt out of marketing emails by clicking the unsubscribe link in any email we send, or by emailing privacy@primebid.com.
  • Opt out of SMS by replying STOP to any text message from us.
  • Request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. We will respond within 45 days. To make a request, email privacy@primebid.com with “Privacy Request” in the subject line.

9. California privacy rights (CCPA / CPRA)

If you are a California resident, the California Consumer Privacy Act of 2018 (CCPA), as amended by the California Privacy Rights Act of 2020 (CPRA), gives you specific rights regarding your personal information.

Categories of personal information we collect

In the past 12 months we have collected the following CCPA categories of personal information:

  • Identifiers — name, postal address, email address, phone number, and online identifiers such as IP address.
  • Customer records information (Cal. Civ. Code § 1798.80(e)) — billing address, payment information.
  • Commercial information — products and services purchased or considered.
  • Internet or other electronic network activity — browsing activity on our site, interaction with our emails and proposals.
  • Geolocation data — only at the level of the property address you provide, not real-time device GPS.
  • Inferences drawn to estimate project fit (e.g. preferred roof type, system size).

Sources of personal information

Directly from you (forms, conversations, documents you provide); from your interactions with our website, emails, and proposals; from public records (county property appraiser, FL Statewide Cadastral); and from imagery and measurement providers (Google, Roofr) when we look up your property.

Business or commercial purposes for collecting

See “How we use your information” above. We do not use your personal information for any purpose materially different from those described.

Categories of third parties we share with

See “Service providers we share data with” above. These are service providers as defined under CCPA — they process your information on our behalf and are contractually limited to that purpose.

Sale and sharing of personal information

We do not sell personal information for monetary or other valuable consideration, and we do not share personal information for cross-context behavioral advertising. We have not done so in the preceding 12 months.

Sensitive personal information

We do not collect categories of “sensitive personal information” as defined by the CPRA (such as Social Security numbers, government IDs, precise geolocation, biometric data, or contents of private messages), except as strictly necessary to perform contracted services (e.g., we may collect a tax ID from a vendor, not from a homeowner customer). We do not use or disclose sensitive personal information for purposes that would require giving you the right to limit such use.

Your California rights

  • Right to know what personal information we collect and how we use and share it.
  • Right to delete personal information we hold about you, subject to certain exceptions.
  • Right to correct inaccurate personal information.
  • Right to opt out of any sale or sharing — N/A as we do neither.
  • Right to limit use of sensitive personal information — N/A as described above.
  • Right to non-discrimination for exercising your rights — we will not deny you services, charge different prices, or provide a different level of service because you exercised a privacy right.

To exercise these rights, email privacy@primebid.com with “California Privacy Request” in the subject line. We will verify your identity using information already on file (matching email, phone, or property address) before responding. You may also designate an authorized agent in writing to make a request on your behalf.

10. California Online Privacy Protection Act (CalOPPA)

In addition to the CCPA / CPRA rights above, this section addresses the requirements of the California Online Privacy Protection Act (Bus. & Prof. Code § 22575 et seq.):

  • The categories of personally identifiable information we collect are described in Section 2 (“Information we collect”).
  • The categories of third parties with whom we may share that information are described in Section 4 (“Service providers”).
  • You may request to review or update the personal information we hold about you by emailing privacy@primebid.com.
  • We notify users of material changes to this notice by updating the “Effective” date at the top of this page (and, for customers with active projects, by email).
  • Our policy on Do Not Track signals and third-party tracking is described in Section 6.

11. Florida residents

The Florida Digital Bill of Rights (FDBR) creates additional rights for Florida residents when applicable to the controller. To the extent the FDBR applies, Florida residents may submit access, correction, deletion, or opt-out requests to privacy@primebid.com. We will treat all Florida residents' requests as if the FDBR applies, regardless of whether we meet the statutory thresholds.

12. Security

We use industry-standard administrative, technical, and physical safeguards designed to protect your personal information — including encryption in transit (HTTPS), access controls on our internal systems, and ongoing review of our service providers' security posture. No method of transmission or storage is perfectly secure; if you believe your account or information has been compromised, contact us immediately at privacy@primebid.com.

13. Children's privacy (COPPA)

Our services are intended for adult homeowners and property buyers. We do not knowingly collect personal information from children under 13 years of age. If you are a parent or guardian and you believe your child has provided personal information to us, contact privacy@primebid.com and we will delete it.

14. Changes to this notice

We may update this notice from time to time. The “Effective” date at the top of this page indicates the most recent revision. If a change is material, we will notify customers with active projects by email. Your continued use of our services after a change indicates acceptance of the updated notice.
